Privacy policy

Last updated 7 November 2026

This policy explains what personal data ClassifyHQ collects, why, and what you can ask us to do with it.

Who we are

ClassifyHQ runs classifyhq.ai and is responsible for your personal data. Contact us about privacy at hello@classifyhq.ai.

What we collect and why

Newsletter

If you subscribe, we store your email address, the markets you told us you ship to, and a record of your consent: when you gave it, the wording you agreed to, where you signed up and your IP address at the time. We use this only to send the monthly tariff and customs update and to prove that you asked for it. The legal basis is your consent, which you can withdraw at any time with the unsubscribe link in every email or on the manage subscription page.

Waitlist

If you join the waitlist, we store your email address and, if you give it, your company or what you ship. We use it to give you access to ClassifyHQ and to contact you about it. The legal basis is our legitimate interest in replying to your request. Joining the waitlist does not subscribe you to the newsletter unless you tick the box for it.

Accounts

When you sign in with Google, we receive your name, email address and profile picture from Google. We store these, your team membership and the product data you upload, to provide the service you signed up for (performance of a contract). Product descriptions you upload are sent to the AI providers listed below so they can suggest HS codes.

Security logs

Our servers log requests, including IP addresses, to keep the service secure and to block automated abuse of our forms. The legal basis is our legitimate interest in running a secure service.

Who processes data for us

We use these providers to run ClassifyHQ. Each processes data only on our instructions:

  • Hetzner (EU): hosting and database.
  • Resend (USA): sending emails, including the newsletter.
  • Google (USA): sign-in, and the Gemini AI model for duty rate research.
  • OpenRouter (USA): routes product descriptions to AI models for classification.

Where data leaves the EU or EEA, the transfer is protected by safeguards such as the EU Standard Contractual Clauses.

How long we keep it

  • Newsletter sign-ups that are never confirmed: deleted once the confirmation link expires, after 7 days. If you had asked us not to email you, we keep only your address and that request.
  • Newsletter: until you unsubscribe. After that we keep the consent and unsubscribe record, so we can show we respected your choice, and never email you the newsletter again.
  • Waitlist: until you have access or ask us to delete it.
  • Accounts: while your account is active. Ask us and we'll delete your account and its data.

Cookies

We only use cookies that the site needs to work: a session cookie that keeps you signed in and a security token that protects forms. We don't use analytics, advertising or tracking cookies, so we don't ask for cookie consent.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. Email hello@classifyhq.ai. If you think we've handled your data wrongly, you can also complain to a data protection authority, such as Datatilsynet in Denmark.

Changes

If we change this policy, we'll update the date at the top. We'll tell newsletter subscribers about significant changes by email.
